Welcome to our ResearcherID Upload FAQ for ResearcherID Web Services. We hope you will find this information useful. The answers to the following questions should help you determine if ResearcherID Web Services are right for you.

Part of ResearcherID Web Services, ResearcherID Upload is a web-service that allows an entitled organization the ability to create accounts for all of their researchers and/or upload publications for all of their researchers.
What are the benefits of the ResearcherID Upload Service?
ResearcherID Upload gives an institution the ability to easily create ResearcherID accounts for all of their researchers.
ResearcherID Upload also gives an institution the ability to check their researchers' publications against items in the Web of Science. If a match is found, the times cited information is stored along with the bibliographic information in ResearcherID, thus enabling the creation of citation metrics, collaboration networks, and citing articles networks in the ResearcherID interface, located at www.researcherid.com.
Academic administrators and librarians are the primary audience; however, the service would need to be implemented by an IT librarian/staff as use of the service requires familiarity with XML and web service protocols. Though this service will benefit individual researchers, it is not intended to be managed or implemented by them.
How do I get access to ResearcherID Upload?
To get access to ResearcherID Upload you must first be registered in ResearcherID.
If you have NOT yet registered with ResearcherID, please do so by going to www.researcherid.com/SelfRegistration.action. After you have fully registered, complete this form to request access.
If you are already registered with ResearcherID, simply request access to this service at science.thomsonreuters.com/info/terms-ridul/. After our team has set up your account, you will receive an email with all necessary instructions.
Do I need to be a Web of Knowledge or Web of Science subscriber to use ResearcherID Upload?
No. The matching of publications is not dependent on institutional entitlements. It will return all Web of Science records that match, including citation information.
What fields are used for lookup of publication metadata against Web of Science?
When publication data is uploaded, the system checks for a match based on the following fields:
— Author
— Publication Year
— Article Title
— Source Title
— Volume
— Pages
There is no priority to the fields; the more fields supplied, the greater the likelihood that there will be a match. If a match is found, the Web of Science unique identifier (UT) is deposited into the ResearcherID database along with the bibliographic metadata as supplied through the upload.
What are the data fields available for Profile upload?
These are the fields available for profile upload. The "R" indicates the field is required.

What are the data fields available for Publication upload?
These are the fields available for publication upload. Note: The ResearcherID publication upload is based on the RS-XML format. Also, this list is not exhaustive; please refer to the ResearcherID Download FAQ for complete details.

| Accession number | This element is used for specifying the unique identifier for one of the ISI Web of Knowledge collections. It will be prefixed by the collection name. |
| Author | Author of paper, can be multiple. Specified as individual parts of name, i.e. initials, suffix, last name, first name. |

| Electronic resource number | This element is used for specifying the Digital Object Identifier (DOI) for the publication. |

Can account creation and publication upload happen at the same time?
No. The upload service only allows for profile creation or publication upload to happen at any one time. The upload you are performing is specified in the call to the service.
What information does the Profile Creation Upload Report contain?
Profile Creation Upload Report: Summary information
For each account that is successfully created, the system sends back the following information:
• Researcher EmployeeID (supplied by institution during upload)
• Researcher Email (supplied by institution during upload)
• Generated ResearcherID (created by the ResearcherID system during upload)
• Temporary password for first time login (note: if user already has account a temporary password is not generated).
For each account that failed to create, the system sends back the following information:
• Researcher EmployeeID (supplied by institution during upload)
• Researcher Email (supplied by institution during upload)
• ResearcherID (if applicable)
Examples of error descriptions: a.) Publication already exists in researchers account; b.) the institution name/employee id supplied does not match what is on file. A complete listing of error codes and definitions is supplied in the technical documentation.
What information does the Publication Upload Report contain?
Publication Upload Report: Summary information
For each publication that is successfully uploaded, the system sends back the following information:
• Researcher EmployeeID (supplied by institution during upload)
• ResearcherID
• Total number of publications uploaded successfully
• Items supplied with Accession Number
• Accession numbers found during upload (how many items had a match in Web of Science)
For each publication that failed to upload, the system sends back the following information:
• Researcher EmployeeID (supplied by institution during upload)
• ResearcherID
• Total number of items that failed
• Failed publication details (title information)
Examples of error descriptions:
a.) Publication already exists in researchers account;
b.) the institution name/employee id supplied does not match what is on file.
A complete listing of error codes and definitions is supplied in the technical documentation.
The current version of the system will not add any new records to the researcher's account if either a.) It finds a record with the same Web of Science unique identifier (UT) or b.) it finds a record with all of these data elements:
• Author list (all author names)
• Publication year
• Publication title (article title)
• Reference type
Please note that the data elements must be precisely identical.
How does the system check and see if a researcher already exists in ResearcherID?
During the profile creation process, the email address supplied is checked against what we have stored in our system. If the email address is found, the system checks to see if the email address is currently associated with a ResearcherID account. If it is, then the system tells the administrator in the upload report. If it is not, a ResearcherID account is created for them.
What happens if a researcher already has an account in ResearcherID?
As long as the user is not already associated with an upload institution, the institution name and employee ID supplied in the upload file will be associated with the researcher's account. This will allow the institution to upload publications for this individual.

How are researchers informed of account creation?
As part of the profile creation process, the system provides the option to have ResearcherID alert users that an account has been created for them. If this option is selected, an email will be sent to researchers alerting them to their account creation, including instructions on how to access their account.
How are researchers informed of publication upload?
As part of the profile creation process, the institution has the ability to choose whether or not the ResearcherID system alerts their user's to new publications being available under the following conditions. Their choice will be honored only if the user has not completed their ResearcherID registration. Once the researcher has completed their registration, they have a setting within their ResearcherID account to turn-off/on these alerts. The alert is set to yes by default.
Please describe what the researcher sees the first time they log-into an upload-created account.
The researcher logs into ResearcherID using the email address and temporary password supplied either by the institution or via email from the ResearcherID system. Once the researcher logs in, they are taken to a registration page that is pre-populated with data supplied by the institution during the account creation process. They are to complete the remaining items on the registration page and change their password. After acceptance of our license agreement, the researcher can access their account.
Please describe what the researcher sees when the institution has uploaded papers on their behalf.
Once the researcher has logged into their ResearcherID account, he should go to the Manage Profile page and select the Suggested Publications tab. For the publications presented, the researcher can select any publication they wish to add to their publication list.
Yes. Contact Global Customer Support science.thomsonreuters.com/support and request that an email address be associated with the information you supplied as sponsor name. The email address will be displayed on the registration form.
Is it possible for an administrator to upload many institutions at once?
Yes. This can be done as one upload. Each researcher would be associated with one sponsor, but also be associated with their own institution. Please see technical documentation for more details.
Can an account created by ResearcherID Upload be deleted? How?
Yes. The researcher or upload institution would need to contact Global Customer Support and request the account be deleted. Please provide your ResearcherID number when providing such a request.
If two ResearcherID accounts have been created for the same person can the accounts be merged?
Not at this time. We suggest the researcher choose the account they want to keep and request the other be deleted. See the previous question and answer for how to delete an account.
Can an administrator be notified when a researcher has completed registration?
Yes. At the time of profile upload, the administrator sets the element "notify-to-admin-on-researcher-confirmation" to true (part of the upload xml file). This selection enables ResearcherID to notify the administrator via email when researchers whose profiles they uploaded confirm their registration in ResearcherID.
Yes. Each individual researcher would need to request an invitation and upload their own publications. Please see the product FAQ for more details.
How does an administrator upload new papers to a ResearcherID Profile after the initial process?
New papers can be uploaded in the same manner as the initial upload.
